Requirements

  • Degree holder with formal secretarial training or administrative management
  • Minimum 15 years’ secretarial experience to work with senior executives in professional institutions or sizable organizations
  • Sound supervision skill and administrative skills in travel arrangements, translation and meeting minutes
  • Proficient in Shorthand skill would be an advantage
  • Excellent command of spoken and written English and fluency in Putonghua
  • Well organized and excellent interpersonal skill with internal and external parties
  • Presentable, excellent organization skill, result-oriented and detail-mined
  • Proficient with MS office software applications (Excel, Word, PowerPoint)

 

Responsibilities

  • Lead office administration and provide secretarial support in a professional manner
  • Handle business correspondence, agenda, memo, presentation, reports, documents, other administrative duties, translation and taking meeting minutes
  • Organize and schedule meetings and appointments
  • Maintain a filing system and ensure the security of records and correspondence
  • Prepare regular scheduled reports
  • Manage travel arrangements including flight schedule, hotels booking and visa application
  • Handle ad-hoc duties as assigned
